Executive Assistant

About the role

 

The Executive Assistant (EA) provides a high level of professional administrative support to the Executive Management Team (EMT) to ensure excellence in customer experience and service delivery across the Organisation. The position analyses and collates information in order to provide executive support to the Executive Management Team. The position will liaise with internal and external stakeholders including the Executive Team, Project Managers,Site Staff, Office Staff, Clients and third-party service suppliers.

Responsbilities

 

Duties include but are not limited to:


  • Provide quality and timely administrative support to EMT.
  • Maintain and coordinate an effective calendar and filing system, ensuring the EMT’s competing demands are effectively managed
  • Provide support to the Senior Leadership team as required
  • Proactively manage correspondence, both emails and letters received. This includes preparation of responses and briefing notes as required, keeping the EMT updated.
  • Maintain and report on a current log of correspondence and commitments and chase up items approaching the due date
  • Co-ordinate relevant staff responses and/or input into projects, programs, reports, correspondence and corporate issues.
  • Support the EMT by proactively responding to enquiries from staff, clients and contractors with a high level of discretion, maturity, diplomacy and judgement ensuring exceptional customer experience.

Skills and experience

 

  • Demonstrated ability to proactively support a senior executive with their day to day operations including an ability to anticipate needs
  • Coordinating diary appointments and supporting documentation
  • High level of flexibility to meet sometimes rapidly changing priorities and variable working duties and hours
  • Intermediate skills in Microsoft Word, Outlook Excel, PowerPoint
  • Highly developed time management, planning and organisational skills with the abilities to prioritise and meet deadlines.
  • High level grammar, written, verbal and communication skills.
  • A commitment to quality outputs with a high degree of attention to detail and a customer first mindset
  • Ability to sustain high level performance, problem solve and meet demanding work deadlines with limited supervision.
